Fleet-Wide P&L vs. Per-Vehicle P&L
A fleet-wide P&L gives the overall financial picture, but it hides which specific vehicles, routes, or contracts are driving the result. A per-vehicle P&L — built from Revenue Per Vehicle and Cost Per Vehicle — shows exactly where profit is being made or lost, which is where the more useful decisions actually get made.
How This Differs From a KPI Dashboard
Operational KPIs — cost per km, availability, downtime — are diagnostic: they tell you why something is happening. A P&L is a financial statement: it tells you the bottom-line result. Both matter, but they answer different questions, and a fleet that only tracks KPIs without ever rolling them up into a proper P&L is missing the number that ultimately determines whether the fleet function is adding value to the business.

Should every fleet produce a P&L, even internal fleets without external billing?
Yes, using an internal recovery rate for revenue if there's no external billing. Without a revenue side, it's impossible to know whether the fleet function is actually adding value or just accumulating cost.
Can this be produced automatically, or does it need manual work?
It depends entirely on whether fuel, maintenance, and revenue data are already connected to accounting. Where they are, as with a properly integrated fleet accounting platform, a Fleet P&L is a reporting output, not a manual monthly exercise.
