What Is Vehicle Utilisation?

Vehicle Utilisation measures how much of a vehicle's available time or capacity is spent doing productive work, versus sitting idle or unassigned. It's a distinct question from whether the vehicle is capable of working (that's Fleet Availability) — utilisation asks whether it's actually being used.

Formula

Utilisation = (Time or Distance in Productive Use ÷ Total Available Time or Capacity) × 100

Define 'available' consistently — usually scheduled operating hours minus planned downtime — so utilisation and availability figures stay comparable across the fleet.

Why Vehicle Utilisation Matters

Cost Efficiency

An underused vehicle still incurs insurance, licensing, and depreciation — utilisation shows whether that fixed cost is being earned back.

Right-Sizing

Persistently low utilisation across several vehicles is a signal the fleet may be larger than the workload requires.

Wear Distribution

Very high utilisation on a few vehicles while others sit idle accelerates wear unevenly and skews maintenance planning.

💡 What's a Good Number?

Target utilisation varies hugely by fleet type — a long-haul truck and a standby generator vehicle will never have comparable numbers. Track the trend for each vehicle and compare it against its own class within your fleet.

How to Improve Vehicle Utilisation

Improve route and dispatch planning to spread work more evenly
Pool underused vehicles across depots or departments where possible
Right-size the fleet to actual demand rather than peak-only capacity
Review utilisation alongside profitability — high use isn't automatically good if it isn't profitable
